YOUR BUSINESS IS GROWING. THAT’S GREAT.
but your prospect process hasn’t kept up
YOU HAD A GREAT INTRO CALL.
You told them you’d send over some next steps, and you meant to.
BUT YOU WENT BACK TO THE LAST FOLLOW-UP EMAIL YOU SENT.
Started adapting it, and ended up rewriting the whole thing. That email sat in your drafts longer than you’d like to admit.
BY THE TIME IT WENT OUT, YOUR PROSPECT HAD GONE QUIET.
MAYBE THEY DIDN’T SCHEDULE THE NEXT MEETING.
So you made a mental note to follow up. Then two weeks went by before you realized you hadn’t.
NOW THAT LEAD IS JUST ANOTHER PERSON WHO ALMOST WORKED WITH YOU.
THIS KEEPS HAPPENING — ALL BECAUSE YOU’RE RUNNING A MULTI-STEP PROCESS ENTIRELY IN YOUR HEAD.
Every follow-up is a judgment call and every email is a fresh build.
And the more leads you’re managing, the heavier that mental load gets.
the prospect process build
Is a done-with-you service that creates, documents, and implements your complete prospect pipeline.
Follow-up happens consistently, your communications actually sound like you, and leads stop slipping away between meetings.
this is not a discipline problem
When your prospect process lives entirely in your head, it’s a guessing game every time. You’re trying to remember what to send, when to send it, and how to say it — and that’s before you actually write anything.
YOU DON’T HAVE A REPEATABLE PROCESS, SO EVERY FOLLOW-UP IS BUILT FROM SCRATCH
The structure doesn’t exist yet. Each email, text, and next step requires a decision that should have been made once and documented.
YOU DON’T HAVE A CLEAR TIMELINE, SO EVERY FOLLOW-UP IS A JUDGMENT CALL
Your mental note to “follow up soon” turns into two weeks of silence. (Not because you forgot, but because you weren’t sure when the right moment was.)
YOU CAN’T SEE WHERE LEADS ACTUALLY FALL OFF, SO YOU’RE IMPROVING BASED ON GUT FEEL
Without data, every change to your process is a guess. You might be fixing what’s already working and missing the step where prospects actually disengage.
Getting your process out of your head is the part you keep meaning to do and never quite get to.
That’s what we’re here for.
think hiring a new CSA will fix it?
It might, but a new CSA working from an undocumented process will hit the same walls you do.
They’ll be guessing what to send, when to send it, and what the prospect has already received, because there’s nothing written down for them to follow.
Hiring adds capacity, not structure.
The advisors we’ve worked with who documented their process first say the same thing:
Onboarding was easier, follow-up stayed consistent, and their team actually bought in because they could see the process and carry it forward with confidence.
A prospect can feel the difference between a team that runs smoothly and one that’s winging it.
the prospect process build is built for
THIS IS WHAT
The Prospect Process Build is a done-with-you engagement that takes your prospect process from undocumented and hard to repeat to fully built, implemented, and running in your systems.
We audit where you are, map out where you need to go, build every piece of communication you need to get there, and install it directly into your CRM.
Your system lives outside of your head and runs in real life, whether it’s you executing it or someone on your team.
This is sales infrastructure, the operational foundation your growth has been asking for.
here’s exactly what we build together
PHASE ONE
process audit
We look at your CRM data (and wherever else your pipeline information lives) to see how leads have moved through your process, where they’re falling off, and why.
DELIVERABLE
A data insights report with prioritized recommendations that guide everything we build next.
PHASE TWO
strategy session + process design
A focused 2-hour session where we get your full process out of your head and onto paper. We map your prospect journey from first contact through signed agreement to include every step, every touchpoint, and the rationale behind each one.
DELIVERABLE
A fully documented prospect journey map:
Your complete sales process with each stage defined, the purpose of each touchpoint, and the follow-up sequence between every step. This is the blueprint your entire system gets built from.
PHASE THREE
communication build
We write your complete communication library for each stage of your prospect journey — email templates, text templates, and call scripts, all written to sound like you.
Every template has room for personalization so nothing reads like a mass email. You’re filling in the details, not starting from scratch every time.
DELIVERABLE
A complete, organized communication library you can start using immediately.
PHASE FOUR
integration + implementation guidance
We walk you (or your team) through the entire system in 3 hours of one-to-one training — how to use your communication library, how to follow your prospect journey map, and how to keep the process running consistently. You'll also get a written install guide with step-by-step recommendations for setting everything up in your tech stack.
DELIVERABLE
3 hours of hands-on training, plus a written implementation guide tailored to your system.
PHASE FIVE
follow-up + optimization
We don’t hand it off and disappear. After implementation, we check back in to see what the data is showing, what’s working, and what needs a tweak.
DELIVERABLE
An optimization report with recommendations based on your real results.
After working in an established RIA for several years, Jordan founded his own RIA about two years ago.
He was doing a lot of things right. Leads were coming in, conversations were going well, and he had a multi-step process that guided prospects through the sales process:
don’t just take our word for it
INTRODUCTION CALL
PLANNING MEETING 1
PLANNING MEETING 2
PROPOSAL
CLIENT AGREEMENT
It’s thorough, intentional, and one of the reasons prospects trust him.
But between every one of those steps, follow-ups were being built from scratch. Each one became its own project, and what should have taken ten minutes regularly took over an hour.
Sometimes the email never went out at all, and prospects would quietly drop off.
So we got to work.
We mapped Jordan’s full prospect journey, built a communication library for every stage, created a follow-up timeline, and installed everything into his CRM.
There was nothing wrong with Jordan’s process, so we didn’t change a thing.
We just documented why he does it and gave him a system to execute it consistently.
jordan’s close rate more than doubled after he documented and installed his process.
H1 VS. H2 2025
funnel performance
Each stage shows H1 (yellow) and H2 (pink) conversion rates. The shift from early dropout (H1) to late funnel engagement (H2) is the most important story in this data.
what the data shows
CONVERSION RATE INCREASED ~70%
29% lead-to-client conversion in H1 jumped to 50% in H2. Jordan’s target was 25%. H2 crushed it.
The process worked.
PROSPECTS ADVANCE MUCH FURTHER
In H1, most prospects never made it past the Introduction Call. In H2, virtually every Introduction Call led to Planning Meeting 1, and every Planning Meeting 1 led to Planning Meeting 2.
The structure is creating commitment.
OF COURSE, THE NUMBERS ONLY TELL PART OF THE STORY.
What used to take over an hour now takes five or ten minutes. He has a template, fills in the details, and it goes out. A short follow-up text three days after the initial email became the single thing that kept most conversations moving forward.
Going through the exercise also gave Jordan more conviction about his process. He was more confident walking prospects through the journey because he could see the whole thing in front of him.
Prospects felt that confidence.

is this a fit?
the builder
You're in your first few years running your own RIA. Leads are coming in consistently, conversations are going well, and you know your process works — it's just not documented yet.
You're ready to build the infrastructure before things get harder to manage.
the refiner
You've been at this for a while. You've seen how good systems work — maybe at a prior firm, maybe one you built yourself — but your current prospect process needs a refresh.
You want to tighten what you have, document it properly, and stop losing leads you should be closing.
YOU’RE ALSO…
✔️ Getting consistent leads (~2-3 new leads a month)
✔️ Bringing in a minimum of $$150K–250K in revenue
✔️ Wondering why your close rate isn’t higher
✔️ You don’t have consistent lead flow yet
✔️ You’re looking for lead generation, marketing strategy, or content help (this is bottom-of-funnel infrastructure, not top-of-funnel)
✔️ You’re not open to having your process audited and your data analyzed (that’s where everything starts)
this isn’t the right fit if…
❌ You don’t have consistent lead flow yet
❌ You’re looking for lead generation, marketing strategy, or content help (this is bottom-of-funnel infrastructure, not top-of-funnel)
❌ You’re not open to having your process audited and your data analyzed (that’s where everything starts)
hi 👋🏻 we’re hillary and aryel
We met a few years ago when Hillary wrote a website for an RIA firm where Aryel worked as a CSA. When we reconnected in 2025 to build out the prospect process for a solo RIA owner Aryel was supporting, we realized we were solving the same problem from two different angles.
That project became the foundation for everything we’ve built since.
Hillary is a finance marketing strategist who has been working with financial advisors since 2020. She’s the copywriting brain behind this system — the one who builds communications that actually sound like you, nurture your prospects instead of phishing them, and make people want to say yes.
Aryel has spent nearly a decade as a CSA working with solo advisors and small RIA teams, from launch-stage firms all the way to seasoned practices. She’s the systems brain — CRM architecture, workflow design, operational efficiency, and the kind of process thinking that most advisors don’t have time to develop. She’s also trained and mentored other CSAs on how to run these systems, which means she knows exactly what it takes to get a team executing a process consistently.
TOGETHER, WE’RE THE DREAM TEAM
Most consultants can give you one or the other. Marketing strategy or operational magic. Words that convert or systems that run smoothly.
We bring both to the table. Aryel sees exactly what’s broken in how advisors operate, and Hillary knows exactly what to say to fix it and fill in the gaps.
Together, we build a fully functioning, implemented system that converts.
here’s how it works

Your total time investment across the full engagement is approximately 1-2 hours per week across the 10-week engagement. This includes the 2-hour strategy session, 3 hours of one-to-one training, and time to review deliverables and provide feedback at each phase. We do the heavy lifting — the audit analysis, the communication build, and the implementation guide are all built by us. Your job is to show up to the sessions, give us honest feedback, and tell us when something doesn't sound like you.
-
The core engagement runs approximately 10 weeks from kickoff through training and implementation. After that, we schedule a 90-day optimization check-in to review your results, see what's working, and make any adjustments. Most advisors are running their new system independently well before that check-in happens.
-
Engagements typically begin within 2–3 weeks of confirming your spot, depending on our current availability.
-
We're CRM-agnostic. Whether you're using Wealthbox, Redtail, Advyzon, or something else entirely, we build your system to work with the tools you already have. If your prospect data lives in spreadsheets, notebooks, or your inbox right now, that's fine too. We'll work with wherever your information actually is.
-
the standard engagement includes 3 hours of one-to-one training and a written installation guide so you or your team can implement with confidence. If you'd prefer hands-on CRM setup — templates installed, automations built, everything configured — we offer that as an add-on. Just mention it during the fit call and we'll scope it out together.
-
Yes. All client data, CRM access, and engagement details are kept strictly confidential. We work with multiple advisors and maintain clear boundaries between every engagement. We'll never share your information, your process, or your data with anyone else.
-
Great — that gives us a head start. The audit and strategy session will assess what's already working, and we'll build from there rather than starting from scratch. This engagement works whether you're documenting for the first time or refining something that already exists.
-
Yes. We offer a two-payment option: 50% at signing and 50% at the start of Phase 3.
